Groomify ("we," "our," or "us") is a pet grooming business management platform operated by 2tentech LLC, a company registered in Wilmington, Delaware, United States. Groomify provides scheduling, client management, payment processing, AI-powered receptionist, and other business tools designed exclusively for the pet grooming industry.

This Privacy Policy explains how we collect, use, disclose, store, and protect the personal information and business data of our users ("you" or "your"), including pet grooming business owners, their staff, and the pet owners who interact with our platform through booking widgets, AI receptionists, or other customer-facing features.

By creating an account, using our services, or visiting our website at groomify.ai, you acknowledge that you have read and understood this Privacy Policy. If you do not agree with these practices, please do not use our services.

2. Information We Collect

We collect information in several categories depending on how you interact with Groomify. The types and amount of data we collect vary based on your subscription plan and which features you use.

2.1 Account Information

When you create a Groomify account, we collect the following information:

  • Full name and job title
  • Email address
  • Phone number
  • Business name and business address
  • Billing information (processed securely through Stripe; we do not store full credit card numbers on our servers)
  • Password (stored in hashed form; we never store plaintext passwords)
  • Profile photo (optional)

2.2 Business Data

As you use Groomify to manage your pet grooming business, you may enter or generate the following data:

  • Client records: Pet owner names, contact details, addresses, and preferences
  • Pet profiles: Pet names, breeds, ages, weight, medical notes, grooming preferences, vaccination records, and behavioral notes
  • Appointment data: Scheduling history, service types, duration, staff assignments, and recurring appointment patterns
  • Payment transactions: Invoice amounts, payment methods, tips, refunds, and transaction timestamps
  • Communication logs: Appointment confirmations, reminders, follow-up messages, and SMS records sent through the platform
  • Grooming notes: Service notes, before-and-after photos, and staff comments attached to appointments

You own your business data. We process it solely to provide our services to you and do not use it for any purpose unrelated to your account.

2.3 AI Processing Data

If you use our AI-powered features, we may collect and process additional data:

  • AI Receptionist call recordings: When our AI Receptionist (powered by AgentZap) answers calls on behalf of your business, the call audio is recorded and transcribed to fulfill booking requests, answer questions, and provide call summaries
  • Voice transcriptions: Text transcriptions generated from AI Receptionist calls, used to create appointment records and log caller requests
  • Breed recognition photos: Pet photos uploaded for AI breed recognition are processed in real time. Photos are not stored beyond the recognition task unless you explicitly save them to a pet profile
  • Scheduling patterns: Aggregated and anonymized appointment patterns used by our AI scheduling agent to suggest optimal time slots and reduce gaps in your calendar

2.4 Usage Data

We automatically collect certain technical information when you use Groomify:

  • Features accessed and frequency of use
  • Pages visited within the application and marketing website
  • Device type, operating system, and screen resolution
  • IP address (anonymized for analytics purposes)
  • Browser type and version
  • Referring URL and landing page
  • Session duration and interaction timestamps

2.5 Cookies and Tracking Technologies

We use a limited set of cookies and similar technologies on our website and application:

  • Essential cookies: Required for session management, authentication, and security. These cannot be disabled.
  • Analytics cookies: We use Google Analytics (GA4) with anonymized IP addresses to understand how visitors use our website and improve the user experience.

We do not use advertising cookies, retargeting pixels, or third-party tracking cookies. We do not participate in cross-site tracking or behavioral advertising networks.

3. How We Use Your Information

We use the information we collect for the following purposes, each supported by a lawful basis for processing:

3.1 Service Delivery (Contractual Necessity)

  • Providing and maintaining the Groomify platform, including scheduling, client management, and reporting features
  • Processing payments, generating invoices, and managing subscriptions through Stripe
  • Operating AI features, including the AI Receptionist, AI scheduling agent, and breed recognition
  • Enabling your booking widget and AI chatbot for your clients
  • Sending transactional communications such as appointment confirmations, payment receipts, and account notifications

3.2 Communications (Legitimate Interest / Consent)

  • Sending appointment reminders and follow-up messages on your behalf to your clients
  • Sending product updates, feature announcements, and tips for using Groomify (you may opt out at any time via your account settings or by clicking "unsubscribe" in any marketing email)
  • Responding to support requests and inquiries

3.3 Analytics and Improvement (Legitimate Interest)

  • Analyzing aggregated usage patterns to improve our platform
  • Identifying and fixing bugs, performance issues, and errors
  • Developing new features based on how the platform is used
  • Conducting internal research using anonymized and aggregated data

3.4 Legal Compliance (Legal Obligation)

  • Complying with applicable laws, regulations, and legal processes
  • Responding to lawful requests from government authorities
  • Enforcing our Terms of Service and protecting our rights
  • Maintaining financial records as required by tax law

4. Third-Party Data Processors

We share your information with the following third-party service providers who process data on our behalf. Each processor is bound by data processing agreements and is required to protect your data in accordance with this Privacy Policy.

  • Sanity(United States) — Content management system for our blog and marketing content
  • AgentZap(United States) — AI Receptionist voice processing, call recording, and transcription
  • Stripe(United States) — Payment processing, subscription billing, and invoice generation
  • Google Analytics(United States) — Website analytics with anonymized IP addresses
  • Twilio(United States) — SMS messaging for appointment reminders and notifications

We do not sell, rent, or trade your personal information to any third party. Data is shared with processors only to the extent necessary to provide our services.

5. AI-Specific Data Practices

Because Groomify offers AI-powered features for pet grooming businesses, we want to be transparent about how data flows through these systems.

5.1 AI Receptionist (Powered by AgentZap)

Our AI Receptionist answers phone calls on behalf of your pet grooming business. When a call is handled by the AI Receptionist:

  • The call audio is recorded and securely transmitted to AgentZap for processing
  • A text transcription is generated and stored in your Groomify account for your review
  • Booking requests extracted from calls are automatically added to your scheduling system
  • Call recordings are retained for 30 days by default, after which they are automatically deleted. You can delete recordings sooner from your dashboard
  • Call summaries and transcriptions are retained for the duration of your account

5.2 AI Scheduling

Our AI scheduling agent analyzes your appointment history to suggest optimal booking times, minimize calendar gaps, and predict no-shows. This analysis uses your business's own appointment data and does not incorporate data from other Groomify users.

5.3 No Training on Your Data

We do not use your business data, client records, call recordings, or any other customer-specific information to train AI models. Your data is used solely to provide services to your account. AI models used by Groomify are trained on general-purpose datasets and are not fine-tuned using individual customer data.

6. Data Retention

We retain different categories of data for different periods based on their purpose and legal requirements:

  • Account data (name, email, business information): Retained for the duration of your active account, plus 30 days after account deletion to allow for account recovery
  • Business data (appointments, client records, pet profiles): Retained for the duration of your active account. You may export all business data at any time before account deletion
  • AI call recordings: 30 days from the date of the call, then automatically deleted
  • AI call transcriptions and summaries: Retained for the duration of your active account
  • Usage analytics: 26 months, consistent with Google Analytics data retention defaults
  • Billing and payment records: 7 years after the transaction date, as required for tax compliance

After account deletion, we purge all personal and business data within 30 days, except for billing records retained for legal compliance and any data we are required to preserve in response to a legal hold.

7. Your Rights

Depending on your location and applicable law, you may have the following rights regarding your personal information:

  • Right to access: You may request a copy of the personal information we hold about you
  • Right to correction: You may request that we correct any inaccurate or incomplete personal information
  • Right to deletion: You may request that we delete your personal information, subject to legal retention requirements
  • Right to data portability: You may request an export of your data in a structured, commonly used, and machine-readable format. Groomify provides a built-in data export tool in your account settings
  • Right to restrict processing: You may request that we limit how we process your personal information in certain circumstances
  • Right to object: You may object to the processing of your personal information for direct marketing or other purposes based on legitimate interest
  • Right to withdraw consent: Where processing is based on consent, you may withdraw that consent at any time without affecting the lawfulness of prior processing

To exercise any of these rights, please contact us at privacy@groomify.ai. We will respond to your request within 30 days. We may ask you to verify your identity before processing your request.

8. California Privacy Rights (CCPA/CPRA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA) and the California Privacy Rights Act (CPRA).

8.1 Categories of Personal Information Collected

In the preceding 12 months, we have collected the following categories of personal information as defined by the CCPA:

  • Identifiers (name, email, phone number, IP address)
  • Commercial information (transaction history, subscription details)
  • Internet or network activity (browsing history on our site, feature usage)
  • Professional or employment-related information (business name, job title)
  • Audio information (AI Receptionist call recordings, if the feature is used)

8.2 No Sale of Personal Information

We do not sell your personal information. We have not sold personal information in the preceding 12 months. We do not share personal information for cross-context behavioral advertising.

8.3 Your California Rights

As a California resident, you have the right to:

  • Know what personal information we collect, use, and disclose
  • Delete your personal information, subject to certain exceptions
  • Correct inaccurate personal information
  • Opt out of the sale or sharing of personal information (not applicable, as we do not sell or share your data)
  • Non-discrimination: We will not discriminate against you for exercising your CCPA rights. You will not receive different pricing, quality of service, or access to features based on exercising your privacy rights

9. International Users

Groomify is operated from the United States, and your data is processed and stored on servers located in the United States.

9.1 European Economic Area and United Kingdom (GDPR)

If you are located in the European Economic Area (EEA) or the United Kingdom, the General Data Protection Regulation (GDPR) applies to our processing of your personal data. Our lawful bases for processing include:

  • Performance of a contract: Processing necessary to provide the services you have subscribed to
  • Legitimate interest: Analytics, security, and product improvement, where these interests are not overridden by your rights
  • Consent: Where you have opted in to receive marketing communications
  • Legal obligation: Where we are required by law to process or retain data

By using Groomify from outside the United States, you consent to the transfer of your data to the United States. We implement appropriate safeguards, including standard contractual clauses where required, to protect your data during international transfers.

10. Data Security

We take the security of your data seriously and implement multiple layers of protection:

10.1 Encryption

  • In transit: All data transmitted between your device and our servers is encrypted using TLS 1.3
  • At rest: All stored data is encrypted using AES-256 encryption
  • Passwords are hashed using industry-standard algorithms and are never stored in plaintext

10.2 Access Controls

  • Role-based access controls limit internal access to customer data on a need-to-know basis
  • Multi-factor authentication is available for all user accounts
  • Administrative access to production systems requires multi-factor authentication and is logged

10.3 Infrastructure and Monitoring

  • Our application is hosted on Vercel with automatic security updates and DDoS protection
  • We conduct regular security assessments and vulnerability scanning
  • SOC 2 Type II compliance is in progress as part of our security roadmap

10.4 Incident Response

In the event of a data breach that poses a risk to your rights and freedoms, we will:

  • Notify affected users within 72 hours of becoming aware of the breach
  • Notify relevant supervisory authorities as required by applicable law
  • Provide details about the nature of the breach, the data affected, and the steps we are taking to mitigate it
  • Take immediate action to contain, investigate, and remediate the breach

11. Children's Privacy

Groomify is a business management platform designed for professional pet groomers and pet care business owners. Our services are not directed at individuals under the age of 18. We do not knowingly collect personal information from children under 18 years of age.

If you are a parent or guardian and believe that your child has provided personal information to us, please contact us at privacy@groomify.ai. If we become aware that we have collected personal information from a child under 18 without verification of parental consent, we will take steps to delete that information promptly.

This section provides additional detail about the cookies and similar technologies we use.

12.1 Essential Cookies

These cookies are strictly necessary for the operation of our website and application. They enable core functionality such as session management, authentication, and security features. You cannot opt out of essential cookies as they are required for the service to function.

12.2 Analytics Cookies

We use Google Analytics (GA4) to collect anonymized usage data about how visitors interact with our website. Google Analytics uses cookies to distinguish users and throttle request rates.
