Partner Program Terms

These terms govern the Groomify affiliate program and reseller program. Groomify is operated by Mega Systems LLC, Sheridan, Wyoming (“Groomify”, “we”). You accept these terms when you apply, and they take effect when we approve your application. Resellers also sign a reseller agreement, which adds to these terms.

1. Eligibility and application

  • Both programs are free to join. You must be at least 18 and able to enter a contract.
  • We approve applications by hand and may decline any application without giving a reason. We do not accept coupon or deal sites, or applications without an audience or client base we can verify.
  • One account per partner. You may take part in both programs with the same account; a customer is never paid on under both.

2. Affiliate commission

  • You earn 15% of the software subscription paid by each customer you refer, for that customer’s first 6 paid months.
  • The commission base is the software subscription only (the plan price actually paid, after any discount). There is no commission on the AI receptionist add-on, overage minutes, hardware, SMS and payment-processing fees, or on taxes.
  • A referred customer is a business that starts a Groomify trial through your tracked link, within the attribution window, and later becomes a paying customer. Trials that do not convert earn nothing.
  • Only new accounts count. A business that is already a Groomify customer, already in a trial, or already in our sales pipeline cannot be referred.

3. Attribution

  • Your referral link carries your code. When a visitor arrives through it, we store the code in their browser for 90 days. A trial started in that window is credited to you, and the referral is locked to you when the trial starts.
  • The first referring partner wins. A later visit through another partner’s link does not change the attribution within the window.
  • If a business tells us it came from you but the link was not used, write to us within 30 days of the trial starting. We attribute it by hand where we can verify it. Our records are final.
  • Self-referrals, referrals of your own business or of a business you own a share of, and referrals you pay the customer for, are not eligible.

4. Reseller margin and duties

  • You earn a margin on the software subscription paid by each customer you brought in and support, for as long as that customer is paying and you remain its registered partner. The rate depends on your count of active paying locations, reviewed monthly:
    • Starter: 1 to 9 active locations, 15%.
    • Growth: 10 to 24 active locations, 25%.
    • Leader: 25 or more active locations, 35%.
  • An active location is one salon, van, boarding or daycare site on a paid plan where you are the registered partner. Trials and cancelled accounts do not count.
  • There is no margin on the AI receptionist add-on, overage minutes, hardware, SMS and payment-processing fees, or on taxes.
  • Deal registration: register each prospect with us before the first demo. A registered prospect is protected for you for 90 days. The first registration wins. Businesses already in our pipeline cannot be registered.
  • You run onboarding and training, act as the customer’s first line of support, and keep at least 3 paying accounts within your first 6 months and thereafter. We provide second-line support, partner training, a fact sheet and co-branded onboarding materials.
  • Groomify bills the customer at its published prices under its own terms and privacy policy. You must not advertise a price below our list price. Promotions for your clients need our written agreement first.
  • Co-branding of the onboarding materials we provide is allowed. White-label resale is not offered. Territories are non-exclusive.

5. Statements and payouts

  • We send a statement each month listing every referred or managed customer and the amount earned.
  • Payouts are made monthly, 30 days after the customer’s payment clears, by bank transfer or PayPal, once your balance reaches $50. Smaller balances roll over.
  • A refund or chargeback within 60 days of a payment reverses the commission or margin on that payment. We may deduct it from your next payout.
  • We may hold a payout while we review referrals we suspect are fraudulent, self-referred or in breach of these terms, and we may cancel the amounts concerned.
  • You are responsible for any taxes on what you earn. We may ask for tax forms before the first payout.

6. Promotion rules

  • Disclose the relationship wherever your link appears, as the FTC and the platforms require.
  • No paid search or social ads on the Groomify name, its misspellings, or competitor names. No bidding on branded terms.
  • No spam, no unsolicited bulk messages, no incentivised or forced clicks, no cookie stuffing, no iframes or redirects that hide the referral.
  • No coupon, deal or cashback sites, and no claims of discounts we have not published.
  • Describe the product with the facts on the press page and the fact sheet we send you. Do not make claims about features, prices or results that we have not published.
  • You may use the Groomify name and logo as supplied on the press page, only to identify Groomify as the product you refer or resell. You may not register domains, social handles or trademarks containing the Groomify name.

7. Customers and data

  • Referred and resold customers are Groomify customers under the Groomify terms and privacy policy. You have no access to a customer’s account or data unless the customer gives it to you directly.
  • Keep confidential anything we mark as such, including the fact sheet, unpublished pricing and partner statements.

8. Term and termination

  • The affiliate program continues until either side ends it with 30 days’ notice by email. Commission already running on referred customers is paid to the end of their 6-month commission period.
  • The reseller agreement runs for 12 months and renews unless either side gives 30 days’ notice. After it ends, margin continues for 12 months on accounts you brought in, provided the customer keeps paying.
  • We may end your participation immediately for a breach of these terms, for fraud, or for conduct that harms Groomify’s customers or reputation. Unpaid commission or margin connected with the breach is forfeited.

9. Changes

We may change rates, windows or rules with 30days’ notice by email to the address on your account. Changes to rates apply to payments made after the notice period, not to the past. Continuing in the program after the notice period is acceptance.

10. Relationship and liability

  • You are an independent contractor, not an employee, agent or representative of Groomify. You may not make commitments on our behalf.
  • Groomify’s total liability to you under these terms is limited to the commission or margin paid to you in the twelve months before the claim.
